This Privacy Policy explains what personal information ScoreInspect collects, how we use it, who we share it with, and the choices and rights you have. We collect only what we need to provide the service, and we do not sell your personal information.
1. Information we collect
Account information. Your email address and, if you use email sign-in, your password, which is stored in hashed form by our authentication provider. If you sign in with Google, we receive the basic profile information Google shares, such as your name, email address, and profile picture.
Files you upload and results we generate. The PDF or image files you upload, the page images and recognition data produced from them, and the MusicXML files you export. These files are temporary; see “How long we keep information” below.
Processing and usage records. Information about each processing job, such as its status, file size, number of pages, selected text-recognition language, timestamps, and error codes, together with the number of pages used in each allowance period. We use these records to apply plan limits, prevent abuse, and operate the service.
Billing information. If you subscribe to Pro, our payment processor handles your payment details. We do not receive or store your full card number. We store the customer identifier assigned by our payment processor, your subscription status, and your billing period dates.
Messages you send us. When you use the contact form, we collect your name, email address, the subject and content of your message, and the language of the site. To prevent spam, we also store a one-way keyed hash derived from your IP address and browser user agent; we do not store the IP address itself with your message.
Technical information. Like most websites, our hosting providers automatically record technical data such as IP addresses, browser type, request times, and error logs, which are used for security, troubleshooting, and keeping the service reliable.
Usage and advertising measurement. We use Google Analytics to understand how visitors use the website, such as the pages viewed, device and browser type, approximate location, and how the visit started. If you arrive by clicking one of our ads on Google, Google Ads records whether that visit led to a converted score or a Pro subscription. These tools do not receive your files or their contents.
2. How we use information
We use personal information to:
- create and secure your account and let you sign in;
- receive, process, and deliver your scores and exported files;
- apply the limits of your plan and prioritize processing for Pro subscribers;
- process payments and manage your subscription;
- respond to your messages and provide support;
- send essential service messages, such as account, security, and billing notices;
- understand how the website is used and measure whether our advertising brings people who use the service;
- detect, prevent, and investigate abuse, fraud, and security incidents;
- comply with legal obligations and enforce our Terms of Use.
We do not use your files or results to train artificial intelligence or machine-learning models, we do not show advertising on ScoreInspect, and we do not sell or rent your personal information.
3. Legal bases for processing
Where data protection laws such as the GDPR apply, we rely on the following legal bases:
- Performance of a contract: to provide the service you request, including your account, processing, and subscription;
- Legitimate interests: to keep the service secure, prevent abuse, respond to your messages, and improve reliability, in ways that do not override your rights;
- Legal obligation: to keep billing records and respond to lawful requests;
- Consent: where we ask for it, such as when you choose to sign in with Google. You can withdraw consent at any time.
4. How we share information
We do not sell or rent your personal information. We share it only with trusted service providers that help us operate ScoreInspect, such as providers of hosting, data storage, file processing, email delivery, payment processing, sign-in, website analytics, and advertising measurement services, and only to the extent necessary for them to perform their services for us.
These providers are bound by contractual obligations to protect your information. We may also disclose information if required by law, to protect the rights, safety, and property of our users or of ScoreInspect, or in connection with a merger, acquisition, or sale of assets, in which case this Privacy Policy will continue to apply to your information.
5. International transfers
Our service providers may store and process information in the United States and other countries that may have different data protection laws from those where you live. Where required, we rely on appropriate safeguards, such as the European Commission’s Standard Contractual Clauses, for these transfers.
6. How long we keep information
- Uploaded files and generated results: scheduled for automatic deletion approximately one hour after upload. You can delete them sooner from the service, and they are deleted immediately when you delete your account.
- Account, processing, and usage records: kept while your account exists and deleted when you delete your account.
- Billing records: kept by us and by our payment processor for as long as required by tax, accounting, and other legal obligations, even after the account is deleted.
- Contact messages: kept for as long as needed to handle your request and maintain a record of support communications. They are not deleted automatically when you delete your account, but you can ask us to delete them.
- Technical logs: kept by our hosting providers for a limited period for security and troubleshooting.
7. Cookies and similar technologies
ScoreInspect uses cookies that are strictly necessary for the service to work, such as cookies that keep you signed in and support secure password recovery. When you check out, our payment processor may use its own cookies on its checkout pages to prevent fraud.
We also use cookies and similar technologies from Google Analytics and Google Ads to understand how the website is used and to measure whether our ads lead to converted scores and subscriptions. We do not use them to personalize ads or to show you ads based on your activity on ScoreInspect. Visitors in the European Economic Area, the United Kingdom, and Switzerland do not receive these analytics or advertising cookies.
You can block or delete cookies in your browser settings, opt out of Google Analytics with Google’s opt-out browser add-on (tools.google.com/dlpage/gaoptout), and control how Google uses advertising data in your Google ad settings (myadcenter.google.com). Blocking strictly necessary cookies may prevent you from signing in.
8. Your rights and choices
Depending on where you live, you may have the right to:
- access the personal information we hold about you;
- correct inaccurate information;
- delete your information;
- receive a copy of your information in a portable format;
- object to or restrict certain processing;
- withdraw consent where processing is based on consent;
- lodge a complaint with your local data protection authority.
You can delete your account and its associated data at any time from the account page. To exercise any other right, contact us through the contact page. We may need to verify your identity before acting on a request, and we will not discriminate against you for exercising your rights.
9. Security
We use technical and organizational measures designed to protect your information, including encrypted connections, private storage with per-account access controls, short-lived access links for files, and automatic deletion of uploaded files. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
10. Children
ScoreInspect is not intended for anyone under 18 years of age, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so that we can delete it.
11. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or through the service before they take effect.
12. Contact
If you have questions about this Privacy Policy or about your personal information, please reach us through the contact page.
